Privacy Policy Summary
The short version: Your notes, voice recordings, and generated feedback are never stored by us after processing. They are not used to train any AI model. We use third-party services to handle authentication, payments, text transformation, and voice transcription — none of them retain or train on your data under our API agreements. Full details below.
WritingPAD understands that assessor notes are often fast, fragmented, and written under pressure at the end of a clinical shift. This tool exists to help Practice Assessors turn rough, candid notes into clear, professional, defensible placement feedback — without worrying about how the first draft sounds. Given that mission, WritingPAD does not want to store your data.
WritingPAD is a feedback transformation tool, not a clinical record-keeping system. It does not make clinical judgements, alter the meaning of your assessment, or store either input or generated output. Assessors should avoid including patient names, NHS numbers, or other patient-identifiable information in their input. WritingPAD will strip identifiers that appear, but best practice is to omit them.
What We Process
Account and authentication: Processed via Clerk. Includes name and email address used to sign in (including Google or Microsoft single sign-on).
Payments: If you subscribe to a paid plan, payment processing is handled by Stripe. Payment card details are processed directly by Stripe and never touch our servers. Stripe also handles UK VAT calculation via Stripe Tax.
Text transformation: When you submit assessor notes (typed or transcribed from voice), they are transmitted to Anthropic (API) to generate the response. We do not maintain a persistent history of your notes or generated feedback after processing is complete.
Voice input: When you use the optional voice input feature, audio from your device microphone is captured in your browser and transmitted to Deepgram (a speech-to-text provider) for transcription. The audio recording exists only in your browser's memory during the recording session and is not stored by us after transcription. Deepgram processes the audio solely to produce the transcript. The resulting text is then processed in the same way as typed text.
Feedback signals: If you use the thumbs-up or thumbs-down feature, we store only a timestamp and a rating (no input text, no output text). Optional free-text feedback notes are stored with your account to help us improve the tool.
Technical logs: Minimal information (such as timestamps, character counts, and basic diagnostics) may be retained for uptime monitoring, security, and abuse prevention.
Website analytics: WritingPAD uses Vercel Analytics, a cookieless web analytics service. It collects only aggregate, anonymised usage metrics (e.g. page views, visit duration, device category). No cookies are set and no personal data about individual visitors is collected or stored.
No Use for AI Model Training
As of February 2026, the AI and transcription services used by WritingPAD — Anthropic (text transformation) and Deepgram (voice transcription) — do not use data submitted via their APIs for model training under our API agreements. Anthropic excludes all API usage from training data. Deepgram does not use API data for training unless a customer opts into their Model Improvement Partnership Program, which we have not opted into. Your Rights
Under GDPR (both EU and UK), you have the right to access, rectify, erase, restrict, port, and object to the processing of your personal data. You also have the right to lodge a complaint with a supervisory authority. For users in the United Kingdom, the competent authority is the Information Commissioner's Office (ICO).
